Roughing It Day Camp Administrative Assistant


The Administrative Assistant positions are integral to the operation of our day camp. Roughing It is looking for an organized, task-oriented person to fill this position. They report to one or more of our camp administrators and provide a variety of support services in marketing, data entry, personnel, staff recruiting, desktop publishing, photo editing, filing, mailing and other support areas.

General Duties for an Administrative Assistant

  • Answering the phone and routing calls
  • Answering questions on camp & on customer accounts from camper families
  • Processing information and data into camp database
  • Filing documents
  • Produce database reports from various databases
  • Preparing materials for mailing and shipping
  • General office support and help

Specific Administrative Assistant Positions

Administrative Assistants are normally hired to provide assistance and support in one primary area of our organization. The duties assigned to each specific position are listed in the sections below. Our camp office is very fast paced and there are many times when administrative assistants are assigned projects and responsibilities in a variety of areas.  As a result, and ideal candidate will have skills in a variety of areas and be flexible when taking on different projects.

Marketing Administrative Assistant Specific Duties

  • Liaison with local schools & organizations on marketing initiatives
  • Prepare flyers & brochures for mailing
  • Maintain and update camper lead data base (ACT! 2005)
  • Prepare and send bulk emails
  • Follow up with parents & obtain all required registration forms
  • Create Swift Page e-news letters
  • Email information to camper families and respond to email inquiries

Personnel Administrative Assistant Specific Duties

  • Complete staff work agreement on each new employee.
  • Conduct reference checks for current applications
  • Collect, process, and file staffing employment documents
  • Monitor and ensure that each employee is fully certified and current on all job requirements
  • Assist in recruiting staff for open Roughing It positions
  • Maintain employee files and the employee computer database
    using MS Access and ACT! 2005
  • Conduct staff in-processing and orientation
  • Conduct complete and accurate background checks of all applicants
  • Create Swift Page e-news letters

Graphic Artist Administrative Assistant Specific Duties

  • Produce documents & flyers in Microsoft Publisher
  • Edit photos in Adobe Photoshop
  • Produce camp e-newsletters in Constant Contact or Swift Page

Computer & Network Administrative Assistant

    Specific Duties

  • Assist staff members with computer applications.
  • Organize computer files and systems for optimal usage.
  • Conduct routine data backups of all computers.
  • Install newly purchased computer software programs on systems.
  • Become proficient at new computer programs.
  • Assist staff in learning new computer applications.
  • Clean-up company databases.
  • Design reports in various company software programs
  • Produce computer generated reports from a variety of software.
  • Draft company policies and procedures concerning computer usage.
  • Other computer oriented duties as assigned by camp owner/directors.

    Specific Qualifications

  • Proficiency with a variety of IBM PC compatible computer programs.
  • Windows proficient.
  • Become proficient in MS Word, MS Excel, MS Publisher, MS Access, and MS FrontPage.
  • Become proficient other Microsoft software.
  • Become proficient in ACT! 2005 and EZ-CAMP 2 Registration.

Director’s Administrative Assistant Specific Duties

  • Type and edit various camp documents, letters, and forms
  • File invoices and receipts
  • File documents, catalogs, and publications
  • Organize and file computer files and documents
  • Organize and restock camp storerooms

Sales Administrative Assistant Specific Duties

  • Contact prospective camper families and answer questions
  • Email information to camper families & respond to family email questions
  • Organize, setup, and conduct camp informational slide shows for prospective camper families

Ability to Master New Software and New Tasks

Most of the tasks for the positions listed above can be easily mastered by individuals who are comfortable with computers and general office procedures. Many of the skills can be learned on the job and applicants should not be discouraged from applying because they have not worked in a specific software package. All positions require a strong knowledge of Windows based programs and the ability to learn new computer software. Programs used in our office and easily learned include:

  • Microsoft Word
  • ACT! 2000; 2005
  • EZ-CAMP 2 (camp registration software)
  • Eudora email client
  • Internet Explorer

Other programs that are helpful for this position but are not mandatory are:

  • Microsoft Access
  • Microsoft Excel
  • Adobe Acrobat

Our Administrative Assistant interacts with both camp staff and camper families on a regular basis. This is a part-time job during the off season and requires 20-25 hours per week of work. During the camp season, the position is full time. The Roughing It Camp office is conveniently located in Lafayette with easy access from the freeway and public transportation.

Work Schedule

While we are flexible in the administrative assistant's work schedule.  The normal work schedule for this position has been:

School Year (20 hours per week): Mon-Fri 10am-2pm (no lunch)


Summer Season (40 hours per week): Mon-Fri 8am-4:30pm (1/2 lunch)

We can normally schedule as many additional hours as desired and have the flexibility to combine this position with another part-time position (graphic artist, marketing assistant, personnel assistant, etc) to make the position a full-time position.

Pay starts at $9.00/hour with increases every two months or equivalent number of hours worked. Promotion to the next pay level is contingent on successful mastery of the various camp software programs and office procedures. Promotion is made at the sole discretion of the owner/directors.
