Horse Camps Coordinator – Position Information
This is a full-time administrator position. The Horse Camps
Coordinator is responsible for recruiting campers and staff for
Roughing Its three horse camps. The Horse Camps Coordinator is
supervised by the Camp Owner/Directors and collaborates closely with
the Marketing Coordinator and Personnel Coordinator. There are
specific performance objectives for both camper recruitment and
staff recruitment upon which an annual performance bonus is based.
Roughing It Horse Camps – Overview
Roughing It has offered a variety of horse camps during it’s the
past years and continues to offer and develop new and innovative
horse camps for the children of the San Francisco Bay Area. The
major (and most important) horse program is the day camp horseback
riding in which 60-90 campers ride each day of the eight week camp
season.
The three major horse camps supervised by the Horse Camps
Coordinator are:
- Day Camp Riding (20 horses, 1 director, 10 staff, 2 eight week
Session Programs)
- Horse Day Camp (12 horses, 1 director, 2 staff, 4 two week
Session Programs)
- Ranch Day Camp (20 horses, 1 director, 5 staff, 4 two week
Session Programs)
Other Horse Camps that operate as part of the three major programs
above are:
- Saddle Club (after camp horseback riding)
- Ranch Camp Trail Riding (for day campers 5th grade and above)
- Afternoon Horse Day Camp (4 two week Session Programs, ˝ day)
- Horse MiniCamp (1 week Session Programs late August)
- Ranch MiniCamp (1 week Session Programs & 3 day
Session Programs late August)

The Horse Camps Coordinator is an integral member of our
administrative team and contributes greatly to the success of each
camper’s summer experience. Our camp administrators regularly
interact with both camp staff and camper families. You will truly
have to opportunity to make many positive contributions to the lives
of our campers and staff.
Major Performance Objectives for the Horse Camps Coordinator
- All Horse & Ranch Camp Programs have full enrollment by June 1st
- All Horse & Ranch Camp Post Session Programs have full
enrollment by August 1st
- All riding staff are hired by may 15th
- 50% of the campers return to the horse camps during the following
year
- 10% of the horse campers enroll in Roughing It Day Camp the
following year
- All staff completes their full service commitment as specified in
their work agreement
- Roughing It is invited to return to its leased site during the
following year
- Horse camps generate a 15% profit after all expenses and 15% pro
rata overhead share
Entry Level – Internship Options
We are happy to tailor a program
where the employee will progressively assume more of the job
responsibilities listed below over the course of several years. This
allows the employee time to develop necessary skills and obtain
required certifications.
Priority Selection to Candidates Who Have
Worked a Summer Season at Roughing It
Highest priority is given to
candidates who have previously worked as a summer seasonal employee
at Roughing It in either one of the horse camps or at day camp. The
employee must have preformed at a high level of competence as
witnessed by outstanding seasonal staff evaluations. We welcome
applicants who have not previously worked on summer seasonal staff
but the very best way to qualify for all fulltime year around
professional positions at Roughing It is by completing a summer
season with excellent staff performance evaluations.
General Position Overview
This position works directly for the camp owner/directors and is
responsible for the organization, supervision, staffing and
execution of all horseback riding programs at Roughing It.
October-December - Preparation:
During the fall months the Horse
Camps Coordinator is involved in the planning, preparation and
organization of the coming summer’s program and the coming spring
camper recruitment program.
January-April – Sales & Recruiting:
The Horse Camps Coordinator is
primarily responsible for camper marketing, recruitment,
registration and orientation. They conduct a variety of camp
informational shows and orientation events for camper families. They
represent the camp at camp fairs and other recruitment events. The
Horse Camps Coordinator is also responsible for the recruitment,
orientation, training and in-processing of all horseback riding
staff.
May – Site Set-up & Opening:
The Horse Camps Coordinator is
responsible for the planning and supervision of the set-up and
opening of all Roughing It horse sites. There are currently two
separate sites one in Moraga and one in Lafayette.
June – Staff Orientation & Training:
The Horse Camps Coordinator is
responsible for conducting a complete orientation and training of
all riding staff prior to the opening of camp. They actively
participate and help lead both the camp administrative training and
the camp staff training. They conduct a variety of safety and risk
management workshops for riding staff. The also conduct a variety of
instructor skills training workshops for the riding staff.
July-August – Camp Operations and Program Supervision:
The Horse
Camps Coordinator is the primary supervisor for the 3 riding program
directors during the summer season. They are responsible for the
very close supervision of the directors and for general supervision
of all riding staff and all riding programs. The Riding Programs
Coordinator ensures that all Roughing It policies, procedures and
directives are adhered to during the summer season.
IMPORTANT! - Relief Director, Relief Administrator and Relief Staff:
The Horse Program Director is the primary relief/substitute for
replacement of any of the key riding staff during the course of the
summer. They will assume the role of a site director should it be
necessary to replace the director for a short or long period of the
summer season. The Horse Camps Coordinator is also prepared to serve
as a replacement for any other camp administrator should such relief
be necessary, including: the CampPlus Director, Transportation
Coordinator, Unit Leader, Program Director, a Group Counselor or any
other staff member.
September – Site Close Down and Pack-up:
The Horse Camps Coordinator
is responsible for the closing down of all camp riding sites and the
pack out and storage of all equipment for the winter months. They
will also be responsible for the completion of all camper and staff
final program evaluations.
Responsibilities
Horse Camps Marketing:
- Recruit campers to fill all horse camps
- Coordinate with Marketing coordinator on camper recruitment efforts
- Horse camps brochure design and distribution
- School auction, camp fairs, ads, and returning camper family marketing
- Camper recruitment website advertising & recruiting
Riding Staff Recruitment:
- Recruit all riding staff in coordination with the Personnel
Coordinator
- Conduct background and reference checks on all riding staff
- Staff recruitment website advertising & recruiting
Horse Site Management:
- Organize site set-up and take-down for all riding sites
- Orient new staff to Roughing It Riding Site(s) set-up and policies
- Supervise safe herd management of horses before and after camp
season dates
- Supervise special projects on Ranch Camp site improvements
- Supervise site security residence and residents
Staff Supervision & Leadership:
- Supervise the 3 Horse Program Directors (Day Camp, RancCamp &
HorseDay)
- Supervise International Staff Residential Program (3-4 international
staff)
- Conduct Admin Staff Training for 3 program directors & 3 assistant
directors
- Conduct riding instruction techniques during staff training
- Serve as relief/substitute director for the 3 riding programs
Future Program Development:
- Establish Horse Day Camp (camp within a camp) in Day Camp
- Re-establish Saturday riding program during summer
- Re-establish year around weekend and vacation riding programs
- Relocate Horse Day Camp to new site
- Establish overnight trail ride programs into Briones Regional Park
- Establish horse instructor (CILT/JC) program
- Develop other new and innovative horse camps
Summer Responsibilities
Fill a position on ridings staff based on experience as determined
by the camp owner/directors. This position normally involves
progressively increased level of responsibility through the first
four summers of employment. Candidates who possess exceptional
teaching, leadership and supervision skills as demonstrated by
previous camp experience may be appointed to a higher level position
solely at the discretion of the camp owner/directors.
- 1st year – Riding Counselor at Horse Day Camp or Ranch Camp
- 2nd year – Director of Horse Day Camp or Ranch Camp
- 3rd year – Director of Roughing It Day Camp Riding
- 4th year – Horse Camps Coordinator
Required Prerequisites
- College or University Degree
- Extensive horseback riding experience
- Documented previous riding instructor experience (documented by references)
- Ability to obtain first aid & CPR certifications before summer season
- Ability to obtain CHA Instructor Certification within one year
- Ability to obtain California Commercial Class B license within 3 months
- Minimum of 2 references who can validate both riding and teaching skills
- Ability to obtain approved First Responder (advanced first aid) within 18 months
Highly Desired Prerequisites:
- Previous Experience on riding staff at Roughing It
Desired Prerequisites:
- Horseback Riding Instructor Certification (from an approved
organization)
- Horseback Riding Certification (US Pony Club, Certified Horsemanship
Assoc, etc)
- Previous Horseback Riding Instructor Experience at and ACA
accredited camp
- Previous Horseback Riding Instructor Experience at a camp
- Previous Camp Employment at an ACA accredited camp
- Having owned a horse for at least 5 years
Computer Literacy
This position requires a strong knowledge of Windows based programs,
and the ability to learn new ones. Programs used in our office and
easily learned include:
- Microsoft Word
- ACT! 2000; 2005
- EZ-CAMP 2 (camp registration software)
- Eudora email client
- Internet Explorer
Other programs that are helpful for this position but are not mandatory are:
- Microsoft Access
- Microsoft Excel
- Adobe Acrobat
